Your team, roles and account settings: who can do what in Wallet

Everything about your account and your team lives under Change Settings: your own profile, your company details and contacts, billing, the people on your team, what each of them can open, and a record of what they’ve changed.

Your company profile and contacts

Go to Change Settings > Company > Profile.

  • Company Information shows your business type, name, address and mobile numbers.
  • Preferences holds your Industry and Preferred Currency Format. Changing your industry affects your customers, billing and available features, so to change it, contact our support team.
  • Email Notifications for Platform Events decides who hears about what. Pick a person from your team for each:
Contact Receives
Billing Contact All system notifications by default. If you set the other contacts, the billing contact gets only invoices and payment confirmations.
Marketing Contact Notifications about SMS broadcasts, new campaigns, redemptions and similar.
Technical Contact Notifications about user access, permissions, API key creation, rate limits and similar.
Customer Service Contact A notice when a new Help Desk ticket or Live Chat conversation opens.

Click Save Changes when you’re done.

Billing / Payments

Go to Change Settings > Company > Billing / Payments.

  • Plans: the plans for your industry are listed side by side, with what each one includes. Switch between Monthly and Annual at the top, and click Upgrade on the plan you want.
  • Your card: add or replace the card your plan is charged to.
  • Move to the Free Plan: at the bottom, under Danger Zone. Your account, wallet, team and data stay as they are, and you can upgrade again any time.

A failed payment never shuts down your account. If a charge doesn’t go through, paid features pause until you submit payment on your Billing / Payments page. Your account, your customers and your data stay put, and the free plan is always available.

Your own account

Go to Change Settings > My Profile > My Account.

  • Change Avatar updates your photo (for best results, use 240 x 240 pixels).
  • Password: Change sets a new password.
  • Email Notifications turns platform emails about events (purchase confirmations, plan changes, add-ons, new subscribers and so on) on or off. Important messages, like password resets, are always sent.
  • Appearance switches the portal between light and dark.
  • Page Tips shows or hides the help tips on each page.
  • The My Roles tab lists every page you can open, grouped by area (“You can access 72 pages across 10 areas”).
  • The My API Keys tab lets developers create a key with a title and description. See the API Reference on hub.wallet.dev for what to do with it.

Your photo may be public. If you’re set as a Public Representative, your avatar shows on your wallet’s Representatives page, where customers and prospects can see it. Choose it with that in mind.

Your data exports

When you export a list anywhere in Wallet (members, messages, vouchers and so on), the file is kept in Change Settings > My Profile > My Data Exports. The My Export Requests table lists each one by date, time, file name and size, so you can download it again any time.

If you see an export you don’t recognize, tell us right away so we can check your account is safe.

Add and manage team members

Go to Change Settings > Team & Security > Manage Users.

  1. Click Create (top right) to add someone, or pick a name under Existing Users to edit them.
  2. Fill in their name, email and phone number.
  3. Under Digital Wallet: Public Representative, switch Representative on if they should appear to customers as a contact. Sequence # sets their order on the page, and Schedule sets the days and hours they’re available.
  4. Under Employee Metadata, add an employee ID, job title or department if it helps (useful when two people have similar names).
  5. On the right, choose their access: tick one or more Custom Roles, and check the System Roles pages they should have.
  6. Click Save Changes.

Other buttons on the same page:

  • Reset Password for someone locked out.
  • Disable Access when someone leaves; this should stop them signing in.
  • Download CSV saves a list of that person’s permissions.

Tip: a contact for a whole team. You can add a user named after a team, such as “Sales” or “Customer Support”, and make it a Public Representative. Customers then see one contact for that team and can save it to their phone.

Build roles

A role is a named set of pages. Instead of ticking pages for each person, build a role once (“Front Desk”, “Marketing”, “Finance”) and give it to everyone who does that job.

Go to Change Settings > Team & Security > Manage Roles.

  1. Pick a role under Your roles, or start a new one, and enter a Role Name (letters and numbers only).
  2. Under Role permissions, tick the pages the role should open. Pages are grouped by area (Wallet Configuration, Apply Branding, Attract Visitors, Engage Subscribers, Motivate Customers, Reward Members, Manage Integrations, View Analytics, Change Settings). Tick an area to select all of its pages, or open it to choose pages one by one. Find a page or section searches the list.
  3. The panel on the right counts how many pages are selected and in which areas.
  4. Click Save Changes. Delete removes the role.

For example, your marketing team might get the Attract Visitors, Engage Subscribers and Motivate Customers pages; your IT person the Change Settings pages; and your bookkeeper the POS Ledger and View Analytics pages.

Check who changed access

Change Settings > Team & Security > Auth Changes is a log of every permission change. Set the dates under Show Activity Between, click Apply, and use Export to save a copy.

Column What it tells you
Date, Time When the change was made.
User Who made the change.
Action Added or Removed.
Target The team member whose access changed.
Role The page that was added or removed. Older rows may show older menu names.

See what your team has done

Change Settings > Team & Security > User Activity shows what each person has changed. Pick a name under Employees to see their history: the date and time, the page they were on, the system route behind it, and the kind of change (Create, Update or Restore).

It records changes, not views: it shows someone creating a voucher or updating a member, but not someone just opening a page.

Good to know

Use the two logs together. Auth Changes tells you when someone gained access to a page; User Activity tells you what they did there. Between them you have a complete picture of who can do what, and who did.

Check User Activity first if something looks wrong. If vouchers, credit or points appear that nobody expected, this page shows who created them and when.

Give people only what they need. Fewer pages per person means fewer accidents, like one team overwriting another team’s work.

Why it matters

Your wallet is shared work. Front desk, marketing and the bookkeeper all touch it. Page-by-page roles let everyone do their job without stepping on each other, and the logs mean you’re never guessing who changed what.
